Task Management

Tasks are the core of project management. Learn how to create, organize, and track tasks effectively.

Creating Tasks

Quick Create

  1. 1.Click "+ Add Task" in any group
  2. 2.Type the task title
  3. 3.Press Enter to create

If you click outside the Add Task form:

  • Empty title: the form closes immediately
  • Title with text: the form hides and keeps your draft

From Drafts

The Drafts panel on the left side of the Board view is perfect for:

  • Capturing quick ideas
  • Tasks you haven't organized yet
  • Bulk task creation

Task Details

Click any task to open the Task Modal with full editing:

Assigning Tasks

Tasks support multiple assignees:

  1. 1.Open the task details
  2. 2.Click "Add Assignee"
  3. 3.Select team members from the dropdown
  4. 4.Click the X on an assignee chip to remove them

Assigned tasks appear in each assignee's "My Tasks" view.

> Tip: By default, new projects use the Task Creator auto-assign rule — you're automatically assigned to tasks you create. You can change this in Project Settings → Preferences.

Workload Indicator

When assigning tasks, the dropdown shows each team member's current workload:

- Sprint count (blue): Tasks in the same sprint as this task
  • Total count: All non-completed tasks assigned to the member

This helps team leads distribute work fairly and avoid overloading productive team members.

Moving Tasks

Drag and Drop

  • Drag task cards between groups

On touch devices, press and hold a card until it highlights before dragging.

  • Drag between sprints
  • Drag to/from Drafts

Using Task Modal

Change the Group or Sprint dropdown in the task details.

Inline Editing

On task cards, click icons to quick-edit:

  • Status icon: Change status
  • Priority flag: Change priority

In List View, click any cell to edit inline.

Comments

The right panel in the Task Modal shows comments:

  • Messages appear in WhatsApp-style bubbles
  • Your messages align right (blue)
  • Others' messages align left (gray)
  • Type a message and press Enter to send
  • Use Shift+Enter for new lines
  • Comments support Markdown formatting (bold, italic, code blocks, lists, etc.)
  • Use the Write/Preview tabs to preview your comment before sending
  • URLs in comments are automatically rendered as clickable links
  • Links pasted on their own line render as link preview bars — you see the site's icon and page title at a glance, without clicking

Links

In the description and comments, links get a richer look automatically:

  • External links on their own line show a preview bar with the site's icon and title
  • Task links (links to other tasks on this platform) show the task number, title, and current status — clicking opens that task directly, no page reload
  • Switch to the Links tab in Task Modal to see:
  • All URLs detected from the task description and comments
  • Favicon and domain for each link
  • Source attribution (who shared the link)
  • One-click copy button for any URL

Links are detected automatically — no manual management needed.

Activity Log

Switch to the History tab in Task Modal to see:

  • All changes made to the task
  • Who made each change
  • When changes occurred

Deleting Tasks

  1. 1.Open the task details
  2. 2.Click the trash icon or Delete button
  3. 3.Review what will be removed with the task (sub-tasks, comments, attachments, time logs)
  4. 4.Click Move to Bin to confirm

Deleted tasks are moved to the project Bin — nothing is lost right away:

  • Tasks stay in the Bin for 30 days and can be restored with all their sub-tasks, comments, attachments, and time logs
  • Restore from Project Settings → Bin — the task returns with its original task number (to Drafts if its original group or sprint no longer exists)
  • After 30 days, Bin items are permanently deleted automatically; Owners and Admins can also delete Bin items permanently at any time

> Note: Who can delete tasks depends on the project's Task Deletion setting (Project Settings → General). By default, only the project Owner and Admins can delete tasks. If you don't see the delete option, ask an Owner or Admin.

Tips

  • Use colors to visually categorize tasks
  • Set due dates for deadline tracking
  • Use Drafts as an inbox for new ideas
  • Assign tasks to track accountability
